Simply Japanese Privacy Policy

Last updated on September 27, 2026

This privacy policy ("Policy") describes how Simply Japanese ("Simply Japanese", "we", "us" or "our") collects, protects and uses the personally identifiable information ("Personal Information") you ("User", "you" or "your") may provide through the Simply Japanese mobile application ("App") and any of its related products and services (collectively, "Services"). The Policy also describes the choices available to you regarding our use of your Personal Information and how you can access and update this information. This Policy does not apply to the practices of companies that we do not own or control, or to individuals that we do not employ or manage.

Collection of Personal Information

We receive and store any information you knowingly provide to us when you create an account or use the features of our App. The information we collect includes:

  • Account Information: When you sign in with Apple or with your email address, we receive your email address and, if you share it, your name, and create a user ID for your profile.
  • Voice Recordings: When you hold the record button in a pronunciation exercise, the App records your voice and sends it to our servers so it can be scored. Recordings are used only to score your pronunciation and give you feedback, and are never shared with other users.
  • Conversation Content: Messages you send to the AI conversation partner, and its replies, are processed to generate responses and corrections and are stored so you can review past conversations.
  • Learning and Usage Data: We collect information about your interactions with the App, such as lessons and steps completed, review cards, pronunciation scores, daily goals and streaks.

Collection of Non-Personal Information

When you use the App, our servers automatically record information that your mobile device sends. This data may include your device type and model, operating system version, language preferences, App version, access times and dates, and crash reports.

In-App Purchases

Subscriptions bought in the App are processed by Apple (for iOS devices) or Google (for Android devices). These providers collect payment information directly from you; we never see or store your credit card details. We receive confirmation of your purchase, through our subscription management provider, which is linked to your Simply Japanese account so we can unlock the features you paid for. Questions about payment processing should be directed to Apple or Google.

Use and Processing of Collected Information

The information we collect from you is used to provide and improve our Services. Specifically, we use it to:

  • Create and manage your account and sign you in.
  • Score your pronunciation and give you feedback on your speaking.
  • Power the AI conversation partner and its corrections.
  • Save your progress, review schedule, goals and streaks across devices.
  • Verify your subscription and unlock paid features.
  • Send reminders you have turned on, and respond to support requests.
  • Keep the App secure, fix problems and improve its features.

We do not sell your Personal Information, we do not show third-party advertising, and we do not use your data to track you across other companies' apps or websites.

Service Providers

We use trusted third-party providers to run the Services on our behalf, including providers for account sign-in and data hosting, speech scoring, AI text generation and speech synthesis, and subscription management. They process your information only to provide these functions to us and are selected for their security and privacy practices.

Managing Personal Information

You can view and update your settings in the App. You can delete your account and its associated data at any time from Profile → Delete account in the App, or by emailing us from the address you signed up with. Deleting your account is irreversible. Deleting your account does not cancel an App Store subscription; cancel that in your App Store account settings.

Information Transfer and Storage

Depending on your location, data transfers may involve transferring and storing your information in a country other than your own, including the United States. You are entitled to learn about the legal basis of information transfers to a country outside the European Union and about the security measures taken by us to safeguard your information.

The Rights of Users

You may exercise certain rights regarding your information processed by us. In particular, you have the right to do the following: (i) you have the right to withdraw consent where you have previously given your consent to the processing of your information; (ii) you have the right to object to the processing of your information if the processing is carried out on a legal basis other than consent; (iii) you have the right to learn if information is being processed by us, obtain disclosure regarding certain aspects of the processing and obtain a copy of the information undergoing processing; (iv) you have the right to verify the accuracy of your information and ask for it to be updated or corrected; (v) you have the right, under certain circumstances, to restrict the processing of your information, in which case, we will not process your information for any purpose other than storing it; (vi) you have the right, under certain circumstances, to obtain the erasure of your Personal Information from us; (vii) you have the right to receive your information in a structured, commonly used and machine readable format and, if technically feasible, to have it transmitted to another controller without any hindrance.

How to Exercise These Rights

Any requests to exercise User rights can be directed to us by email at [email protected]. These requests can be exercised free of charge and will be addressed by us as early as possible and always within one month.

Privacy of Children

We do not knowingly collect any Personal Information from children under the age of 13. If you are under the age of 13, please do not submit any Personal Information through our Services. If you have reason to believe that a child under the age of 13 has provided Personal Information to us through our Services, please contact us and we will delete it.

Notifications

If you turn on daily reminders, the App schedules them on your device. You can turn them off at any time in the App or in your device's notification settings.

Information Security

We maintain reasonable administrative, technical, and physical safeguards, including encryption for data in transit, in an effort to protect against unauthorized access, use, modification, and disclosure of Personal Information in our control and custody. However, no data transmission over the Internet or wireless network can be guaranteed.

Data Breach

In the event we become aware that the security of the Services has been compromised or users' Personal Information has been disclosed to unrelated third parties as a result of external activity, including, but not limited to, security attacks or fraud, we reserve the right to take reasonably appropriate measures, including, but not limited to, investigation and reporting, as well as notification to and cooperation with law enforcement authorities. In the event of a data breach, we will make reasonable efforts to notify affected individuals if we believe that there is a reasonable risk of harm to the user as a result of the breach or if notice is otherwise required by law.

Legal Disclosure

We will disclose any information we collect, use or receive if required or permitted by law, such as to comply with a subpoena, or similar legal process, and when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request. In the event we go through a business transition, such as a merger or acquisition by another company, or sale of all or a portion of its assets, your user account and personal data will likely be among the assets transferred.

Changes and Amendments

We reserve the right to modify this Policy at any time, effective upon posting of an updated version on this page. When we do, we will revise the updated date at the top of this page. Continued use of the Services after any such changes shall constitute your consent to such changes.
